Job Description

Overview

  • Manage billing and accounts receivable processes for commercial real estate services, ensuring accurate and timely invoicing and collections.
  • Collaborate with internal teams to ensure efficient tracking and conversion of work orders into invoices.
  • Utilize billing software and work order management systems for streamlined operations and reporting.
  • Provide insights on billing statistics to support financial decision-making and strategy.
  • Ensure compliance with sales tax computations and accurate ledger postings.
  • Maintain accurate billing records and collaborate with the Controller on rate catalogues.
  • Monitor open accounts receivable and follow up to ensure timely collections.
  • Engage with executives and principals in a dynamic, growing organization.

Key Responsibilities & Duties

  • Review validated work orders to ensure accurate billing of labor, materials, and equipment.
  • Post invoices to ledgers and distribute them to tenants or landlord entities.
  • Collaborate with the Controller to maintain rate catalogues for labor and materials.
  • Utilize work order management systems and ensure accurate interface with billing software.
  • Generate and analyze billing reports to provide insights on service types and customer trends.
  • Monitor open invoices and ensure efficient cash collection processes.
  • Coordinate with internal teams to resolve billing discrepancies and streamline processes.
  • Maintain detailed and organized billing records for audits and reporting.

Job Requirements

  • Associate of Arts (AA) degree required; additional certifications in billing or accounting preferred.
  • Minimum of 4 years of billing experience; 10 years preferred.
  • Proficiency in Microsoft Office Suite and Adobe software is essential.
  • Experience with real estate services billing software or work order management systems preferred.
  • Knowledge of building trades business, including HVAC, plumbing, and electrical systems.
  • Exceptional organizational and communication skills with a commitment to accuracy.
  • Ability to analyze billing data and provide actionable insights.
  • Detail-oriented with strong problem-solving abilities and teamwork skills.
