Job Description

Overview

  • Provide high-level executive support to senior executives in a dynamic, remote environment.
  • Coordinate complex schedules, travel arrangements, and meetings across multiple time zones.
  • Collaborate with internal teams and external stakeholders to ensure seamless operations.
  • Maintain confidentiality and professionalism while managing sensitive information.
  • Support corporate events, leadership meetings, and high-priority sessions.
  • Adapt working hours to accommodate global time zones and business needs.
  • Assist with financial tasks, including invoice management and expense reconciliation.
  • Contribute to a collaborative and inclusive team environment.

Key Responsibilities & Duties

  • Manage complex executive schedules, ensuring efficient time management and prioritization.
  • Coordinate domestic and international travel logistics, including visas and accommodations.
  • Organize and facilitate virtual and in-person meetings using various platforms.
  • Liaise with VIPs, government bodies, healthcare professionals, and collaborators.
  • Prepare and manage invoices, purchase orders, and expense reports.
  • Provide administrative support for corporate events and leadership sessions.
  • Ensure compliance with organizational policies and health and safety guidelines.
  • Collaborate with the EA team to support organizational activities and initiatives.

Job Requirements

  • Minimum 7 years of experience as an Executive Assistant, preferably in biotech/pharma.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage confidential information and prioritize tasks effectively.
  • Experience coordinating travel logistics and working across time zones.
  • High School Diploma or GED required; degree in science or healthcare preferred.
  • Excellent written and verbal communication skills.
