Job Description

Overview

  • Provide front desk coverage and administrative support in a professional office environment.
  • Act as the first point of contact for clients, staff, and vendors.
  • Ensure smooth daily operations by managing office systems and supplies.
  • Coordinate office repairs and maintenance with vendors and building staff.
  • Support company operations by maintaining office systems such as printers and copiers.
  • Assist with scheduling, event planning, and special projects as needed.
  • Provide technical support for video conferencing and basic IT services.
  • Maintain inventory of office supplies and manage procurement processes.
  • Collaborate with management and other departments to ensure operational efficiency.

Key Responsibilities & Duties

  • Manage reception and front desk operations, ensuring a welcoming environment.
  • Handle phone calls, emails, and correspondence with professionalism and efficiency.
  • Coordinate resource scheduling using Microsoft Outlook.
  • Oversee vendor relationships and coordinate facility maintenance.
  • Support office systems and equipment, including printers and copiers.
  • Assist with event planning and execution, ensuring successful outcomes.
  • Maintain off-site inventory and ensure proper recordkeeping practices.
  • Provide technical assistance for video conferencing and Apple devices.
  • Collaborate with colleagues on special projects and administrative tasks.

Job Requirements

  • Bachelor of Arts (BA) degree preferred but not required.
  • 1+ years of experience in a similar administrative or receptionist role.
  • Proficiency in Microsoft Office and video conferencing tools like Teams or Zoom.
  • Strong verbal and written communication skills with attention to detail.
  • Ability to manage time effectively and prioritize tasks efficiently.
  • Experience with postage systems like USPS certified, FedEx, UPS, and Pitney Bowes.
  • Technical proficiency with basic IT support for office equipment.
  • Capability to lift light items occasionally as part of office duties.
  • Ability to work on-site in a professional office setting.
