Overview

  • Support senior executives in a dynamic administrative role, ensuring seamless operations and communication within the organization.
  • Collaborate with the Executive Assistant to the CEO, contributing to shared responsibilities and initiatives.
  • Work on-site initially five days a week, transitioning to four days after six months.
  • Engage in a professional environment that values collaboration, growth, and impactful contributions.

Key Responsibilities & Duties

  • Coordinate schedules, meetings, and appointments for senior executives, ensuring efficient time management and prioritization.
  • Prepare and organize documents, reports, and presentations for executive review and decision-making processes.
  • Assist in planning and executing administrative tasks and projects assigned by executives.
  • Collaborate with the Executive Assistant to the CEO on shared responsibilities and organizational initiatives.
  • Handle confidential information with discretion, ensuring data security and professional integrity.
  • Provide proactive support by anticipating executive needs and addressing them promptly and effectively.
  • Facilitate communication between executives and departments, ensuring seamless workflow and collaboration.
  • Maintain a clean and organized workspace, fostering a professional and productive environment.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background is required.
  • 5-7 years of experience in administrative support roles, preferably at the staff level.
  • Strong organizational and multitasking skills, with attention to detail and accuracy.
  • Proficiency in office software and tools, including word processing and spreadsheet applications.
  • Excellent communication skills, both written and verbal, for effective interaction with executives and teams.
  • Ability to work on-site five days a week initially, transitioning to four days per week.
  • Proactive and initiative-driven attitude, eager to learn and contribute to the firm’s success.
  • Comfortable working closely with senior executives and collaborating with experienced team members.
