Job Description

Overview

  • Manage day-to-day accounts receivable and accounts payable operations, ensuring accuracy and compliance with company procedures.
  • Assist in the preparation of financial statements by maintaining monthly schedules and reconciling general ledger accounts.
  • Monitor transactions and accounting procedures for accuracy and proper approvals, supporting the Controller in financial oversight.
  • Perform job costing for inventory expenses and maintain detailed accounting schedules for inventory, sales, purchases, and deposits.
  • Prepare monthly journal entries and reconcile accounts for deposits, sales, and purchases.
  • Interact with warehouse operations and assist with machinery auctions, including payment collection and customer invoicing.
  • File quarterly sales tax returns and prepare year-end 1099 forms, ensuring compliance with tax regulations.
  • Collaborate with internal teams to improve accounting processes and support special projects as needed.

Key Responsibilities & Duties

  • Handle accounts receivable invoicing, receipts, and collection calls, maintaining accurate records and resolving discrepancies.
  • Manage accounts payable disbursements, verify wire transfers, and ensure timely payments to joint venture partners.
  • Maintain detailed accounting schedules for inventory, sales, purchases, and deposits, supporting financial reporting.
  • Prepare monthly journal entries and reconcile general ledger accounts for financial accuracy.
  • Assist with machinery auctions, including payment collection, invoicing, and customer interactions.
  • File quarterly sales tax returns and ensure compliance with tax regulations, including obtaining tax exemption certificates.
  • Prepare year-end 1099 forms and support tax-related processes for the organization.
  • Collaborate with internal teams to improve accounting processes and support special projects as needed.

Job Requirements

  • Associate of Arts (AA) degree in Accounting or related field required.
  • Minimum of 1 year of accounting experience; 4 years preferred.
  • Proficiency in Microsoft Office, including Excel; QuickBooks experience is a plus.
  • Strong organizational, time management, and planning skills with attention to detail.
  • Excellent interpersonal and communication skills, with the ability to work effectively across all levels of the organization.
  • Self-starter with strong analytical and computer skills, comfortable with new database applications.
  • Ability to operate effectively in a fast-paced environment, managing multiple tasks simultaneously.
  • Knowledge of tax regulations and compliance, including sales tax and year-end reporting.
