Job Description

Overview

  • Coordinate general maintenance and repair tasks for corporate facilities, ensuring optimal functionality and safety.
  • Manage scheduling and execution of preventative maintenance for systems and equipment.
  • Oversee emergency repairs and liaise with vendors to resolve issues promptly.
  • Ensure office spaces are clean, functional, and ready for daily operations.
  • Support access control by managing card access systems for employees.
  • Coordinate special events, including setup and breakdown of rooms and spaces.
  • Maintain vendor contracts and renewals, ensuring compliance and centralized record-keeping.
  • Develop and maintain a centralized system for managing keys and furniture arrangements.
  • Collaborate with building engineers and contractors to complete required tasks effectively.

Key Responsibilities & Duties

  • Coordinate maintenance and repair activities for electrical, HVAC, lighting, and safety systems.
  • Schedule and oversee preventative maintenance tasks for building systems and equipment.
  • Manage vendor relationships and ensure compliance with contractual obligations.
  • Process invoices and renew maintenance contracts through vendor management systems.
  • Conduct inspections of shared spaces and coordinate necessary repairs.
  • Organize and oversee special events setup and breakdown activities.
  • Maintain centralized databases for vendor contracts, certificates, and facility records.
  • Assist with furniture and equipment arrangements to meet operational needs.
  • Support the development and execution of a comprehensive facilities maintenance program.

Job Requirements

  • Bachelor of Arts degree required, preferably in a related field.
  • Minimum of 1 year of experience in facilities coordination or related roles.
  • Proficiency in managing maintenance schedules and vendor relationships.
  • Strong organizational skills and ability to work autonomously.
  • Familiarity with building management systems and safety protocols.
  • Excellent communication skills and personable demeanor.
  • Ability to manage databases and centralized records effectively.
