Job Description

Overview

  • Serve as the first point of contact for patients, ensuring a welcoming and professional environment.
  • Perform essential receptionist duties, including phone call management and patient scheduling.
  • Utilize electronic medical records (EMR) systems for patient check-in and check-out processes.
  • Verify patient demographics, insurance information, and obtain necessary signatures on forms.
  • Facilitate patient flow by coordinating with providers and addressing delays or backlogs.
  • Schedule appointments and ensure patients are prepared with required documentation.
  • Maintain office supplies inventory and place orders as needed to ensure smooth operations.
  • Adhere to HIPAA guidelines and ensure patient confidentiality at all times.
  • Provide additional coverage during night hours and weekends when required.

Key Responsibilities & Duties

  • Answer, screen, and route phone calls professionally and efficiently.
  • Manage patient check-in and check-out processes using EMR systems.
  • Verify patient information and obtain necessary documentation and payments.
  • Coordinate patient flow by notifying providers of arrivals and addressing delays.
  • Schedule appointments and procedures, ensuring proper documentation is prepared.
  • Retrieve referrals, authorizations, and eligibility verifications as required.
  • Maintain adequate office supplies and communicate inventory needs to management.
  • Ensure compliance with HIPAA regulations and maintain patient confidentiality.
  • Provide coverage for extended hours and weekends as needed.

Job Requirements

  • High School diploma or GED is required for this position.
  • Completion of an accredited Medical Office Administration program is preferred.
  • Minimum of 6 months of experience as a Medical Receptionist or 1 year of clerical experience.
  • Proficiency in Microsoft Office applications is essential.
  • Strong communication and analytical skills with attention to detail.
  • Ability to multitask and meet deadlines in a fast-paced environment.
  • Professional phone etiquette and self-motivation are required.
  • Familiarity with HIPAA guidelines and patient confidentiality practices.
  • Flexibility to provide coverage during extended hours and weekends.
