Job Description

Overview

  • Support senior leadership and manage office operations in a hybrid role blending executive assistance and office management responsibilities.
  • Coordinate calendars, travel, and meetings for multiple executives, ensuring seamless scheduling and logistics.
  • Serve as the primary liaison for internal teams and external contacts, maintaining discretion and professionalism.
  • Plan and execute internal events, investor meetings, and team offsites with precision and creativity.
  • Manage office equipment, supplies, and vendor relationships to ensure smooth daily operations.
  • Collaborate with HR and Technology for onboarding and offboarding processes, including workstation setup and equipment management.
  • Draft, edit, and format presentations, reports, and correspondence for internal and external use.
  • Handle expense reports, invoice processing, and office budget management with accuracy and timeliness.

Key Responsibilities & Duties

  • Coordinate executive schedules, travel arrangements, and meeting logistics to optimize time management.
  • Plan and execute internal and external events, ensuring all details are managed effectively.
  • Maintain office equipment, inventory, and supplies, ensuring functionality and availability.
  • Oversee vendor relationships, including sourcing, negotiating, and maintaining service agreements.
  • Manage office budget and collaborate with Finance to control costs related to operations and events.
  • Support HR and Technology teams with onboarding and offboarding processes, including equipment setup and returns.
  • Draft and format professional documents, presentations, and correspondence for leadership and team use.
  • Assist with small-scale projects and initiatives, ensuring timely follow-up and execution.

Job Requirements

  • Bachelor’s degree in Arts or related field required.
  • Minimum of 5 years of experience in executive assistance and office management roles.
  • Preferred 8 years of experience in similar positions within professional environments.
  • Proficiency in Salesforce CRM and other office management tools.
  • Strong organizational and multitasking skills to manage diverse responsibilities effectively.
  • Excellent communication and interpersonal skills for liaising with internal and external stakeholders.
  • Experience in event planning and execution, including logistics and creative aspects.
  • Ability to maintain discretion and professionalism in handling sensitive information.
