Overview

  • Provide high-level executive support to two Managing Partners in a dynamic hedge fund environment.
  • Manage both professional and personal priorities with discretion and efficiency.
  • Coordinate office operations, vendor relationships, and building management tasks.
  • Prepare meeting materials, presentations, and correspondence for executive-level engagements.
  • Handle scheduling, travel arrangements, and calendar management for senior executives.
  • Support a fast-paced, high-pressure environment with professionalism and adaptability.
  • Maintain confidentiality and discretion in all tasks and communications.
  • Contribute to the growth and efficiency of the organization through proactive support.

Key Responsibilities & Duties

  • Manage complex calendars, scheduling meetings and coordinating travel arrangements for two Managing Partners.
  • Prepare detailed meeting materials, presentations, and correspondence for executive-level engagements.
  • Oversee office operations, including vendor relationships and building management coordination.
  • Handle select personal tasks for Managing Partners, ensuring confidentiality and efficiency.
  • Organize and maintain files, records, and databases for streamlined administrative processes.
  • Assist with expense reporting and light bookkeeping tasks as required.
  • Act as a gatekeeper, prioritizing communications and ensuring timely responses.
  • Adapt to changing priorities and work independently with minimal supervision.

Job Requirements

  • Minimum 15 years of experience as an Executive Assistant in financial services or a similar environment.
  • Bachelor of Arts (BA) degree preferred but not required.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • Exceptional organizational, time-management, and communication skills.
  • Ability to work well under pressure in a fast-paced environment.
  • Highly professional, discreet, and trustworthy with a proactive mindset.
  • Experience in office management and vendor coordination is advantageous.
  • Flexibility to adapt to changing priorities and occasional after-hours work.
