- Prepare meeting materials, presentations, and correspondence for executive-level engagements.
- Handle scheduling, travel arrangements, and calendar management for senior executives.
- Support a fast-paced, high-pressure environment with professionalism and adaptability.
- Maintain confidentiality and discretion in all tasks and communications.
- Contribute to the growth and efficiency of the organization through proactive support.
Key Responsibilities & Duties
- Manage complex calendars, scheduling meetings and coordinating travel arrangements for two Managing Partners.
- Prepare detailed meeting materials, presentations, and correspondence for executive-level engagements.
- Oversee office operations, including vendor relationships and building management coordination.
- Handle select personal tasks for Managing Partners, ensuring confidentiality and efficiency.
- Organize and maintain files, records, and databases for streamlined administrative processes.
- Assist with expense reporting and light bookkeeping tasks as required.
- Act as a gatekeeper, prioritizing communications and ensuring timely responses.
- Adapt to changing priorities and work independently with minimal supervision.
Job Requirements
- Minimum 15 years of experience as an Executive Assistant in financial services or a similar environment.
- Bachelor of Arts (BA) degree preferred but not required.
- Proficiency in Microsoft Office Suite and scheduling tools.
- Exceptional organizational, time-management, and communication skills.
- Ability to work well under pressure in a fast-paced environment.
- Highly professional, discreet, and trustworthy with a proactive mindset.
- Experience in office management and vendor coordination is advantageous.
