Job Description

Overview

  • Provide administrative support to enhance participant experiences and ensure efficient operations.
  • Handle incoming calls, correspondence, and deliveries professionally and promptly.
  • Scan, index, and file documents following organizational retention guidelines.
  • Assist with facility requests, office supplies, and pantry stocking.
  • Ensure timely processing of enrollment forms and address changes.
  • Support special projects and other duties as assigned by management.
  • Maintain professional appearance and demeanor at all times.
  • Collaborate with customer service to resolve participant-related concerns.

Key Responsibilities & Duties

  • Answer and route incoming calls, taking messages when necessary.
  • Sort, scan, and index incoming mail and correspondence efficiently.
  • File hardcopy batches of indexed documents daily.
  • Process outgoing correspondence using mail/postage machines.
  • Verify enrollment forms and notify regarding missing or invalid documents.
  • Order office supplies and assist with facility requests.
  • Greet visitors and handle incoming deliveries professionally.
  • Participate in special projects and provide input for workflow improvements.

Job Requirements

  • High school diploma required; college degree preferred.
  • Minimum 1 year of experience handling physical and electronic correspondence.
  • Proficiency in MS Office and excellent time management skills.
  • Strong organizational, problem-solving, and attention-to-detail skills.
  • Professional appearance and demeanor with excellent communication skills.
  • Ability to manage complex issues collaboratively and flexibly.
  • Dependability and punctuality are essential for supporting team goals.
