Job Description

Overview

  • Serve as the central point for office operations, ensuring smooth day-to-day functionality and supporting team members effectively.
  • Provide exceptional client service when communicating with tenants, vendors, and team members, fostering a professional and welcoming environment.
  • Assist in the implementation and administration of office policies, procedures, and programs to ensure operational excellence.
  • Support property managers, accounting staff, and engineers with administrative tasks, ensuring seamless collaboration and productivity.
  • Manage office supplies, equipment, and furniture, maintaining a clean and organized workspace for all staff.
  • Prepare tenant statements, invoices, and correspondence, ensuring accuracy and timely distribution.
  • Maintain electronic and paper files, ensuring proper documentation and accessibility for team members.
  • Support the team with ad hoc projects and tasks, proactively addressing needs and contributing to overall success.

Key Responsibilities & Duties

  • Manage office operations, including opening and closing procedures, equipment maintenance, and cleanliness of shared spaces.
  • Answer calls promptly and professionally, directing inquiries to the appropriate team members.
  • Greet visitors and tenants warmly, ensuring a positive experience and professional representation of the office.
  • Coordinate mail distribution, postage meter replenishment, and delivery management efficiently.
  • Compose and distribute correspondence, memos, and tenant packages, maintaining accuracy and professionalism.
  • Prepare and review tenant statements and invoices, ensuring compliance with company standards.
  • Maintain tenant, vendor, and investor files, both electronically and physically, ensuring accessibility and organization.
  • Support property managers with inspections, site visits, and basic property-related tasks as needed.

Job Requirements

  • Associate’s degree preferred, with coursework in Business Administration, Real Estate, or Accounting being advantageous.
  • Minimum of 1 year of experience in a related field; commercial real estate experience is a plus.
  • Proficiency in Microsoft Office applications, including Word and Excel, at an intermediate to advanced level.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
  • Excellent verbal and written communication skills, with a professional demeanor and client service orientation.
  • Ability to work collaboratively in a fast-paced environment, demonstrating reliability and proactive problem-solving.
  • Experience with Building Engines software is a plus but not required.
