Job Description

Overview

  • Manage the full lifecycle of grantmaking processes, ensuring compliance and efficiency to support the foundation's mission.
  • Serve as a liaison among grantees, program staff, and leadership to facilitate communication and collaboration.
  • Provide administrative support to the foundation team, including scheduling and event planning.
  • Maintain and update the grants database for accurate records and reporting purposes.
  • Coordinate proposal reviews, board materials, and grant documentation to ensure timely processing.
  • Prepare grant agreements, budgets, and reports for leadership review and approval.
  • Support logistics for meetings, including agenda preparation and follow-up actions.
  • Assist with expense reporting and liaise with the finance team for accurate tracking.

Key Responsibilities & Duties

  • Administer all aspects of the grantmaking process, ensuring compliance with IRS and foundation regulations.
  • Coordinate and manage logistics for foundation events, including venue, catering, and guest list management.
  • Maintain the grants database for accurate records and reporting purposes.
  • Prepare grant agreements, budgets, and reports for leadership review and approval.
  • Manage the President's calendar and coordinate travel arrangements for the team.
  • Plan and execute small in-house and offsite events such as team meetings and executive lunches.
  • Handle meeting logistics, including agenda preparation, materials distribution, and follow-up actions.
  • Liaise with IT support to troubleshoot technical issues as needed.

Job Requirements

  • Bachelor’s degree required, preferably in a relevant field.
  • Minimum of 5 years of experience in grants administration or a similar role.
  • Proficiency with grants management systems and database software.
  • Strong organizational and attention-to-detail skills for managing complex processes.
  • Excellent communication skills to effectively liaise with stakeholders.
  • Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
  • Familiarity with compliance regulations related to grantmaking processes.
  • Experience in event planning and logistics coordination is preferred.
