Overview
- Manage the full lifecycle of grantmaking processes, ensuring compliance and efficiency to support the foundation's mission.
- Serve as a liaison among grantees, program staff, and leadership to facilitate communication and collaboration.
- Provide administrative support to the foundation team, including scheduling and event planning.
- Maintain and update the grants database for accurate records and reporting purposes.
- Coordinate proposal reviews, board materials, and grant documentation to ensure timely processing.
- Prepare grant agreements, budgets, and reports for leadership review and approval.
- Support logistics for meetings, including agenda preparation and follow-up actions.
- Assist with expense reporting and liaise with the finance team for accurate tracking.
Key Responsibilities & Duties
- Administer all aspects of the grantmaking process, ensuring compliance with IRS and foundation regulations.
- Coordinate and manage logistics for foundation events, including venue, catering, and guest list management.
- Maintain the grants database for accurate records and reporting purposes.
- Prepare grant agreements, budgets, and reports for leadership review and approval.
- Manage the President's calendar and coordinate travel arrangements for the team.
- Plan and execute small in-house and offsite events such as team meetings and executive lunches.
- Handle meeting logistics, including agenda preparation, materials distribution, and follow-up actions.
- Liaise with IT support to troubleshoot technical issues as needed.
Job Requirements
- Bachelor’s degree required, preferably in a relevant field.
- Minimum of 5 years of experience in grants administration or a similar role.
- Proficiency with grants management systems and database software.
- Strong organizational and attention-to-detail skills for managing complex processes.
- Excellent communication skills to effectively liaise with stakeholders.
- Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
- Familiarity with compliance regulations related to grantmaking processes.
