Overview

  • Provide expert legal secretarial support in a fast-paced litigation setting, ensuring seamless operations and document management excellence.
  • Collaborate closely with attorneys to manage all phases of litigation, offering administrative and organizational expertise.
  • Prepare, proofread, and file legal documents, including pleadings, discovery materials, and audits, ensuring accuracy and compliance.
  • Maintain and update case databases, tracking statuses and relevant information for effective case management.
  • Coordinate attorney schedules, client meetings, and travel arrangements to optimize workflow efficiency.
  • Assist in trial preparation by organizing exhibits, indexing discovery, and preparing comprehensive trial binders.
  • Ensure confidentiality and professionalism while managing high volumes of client files and sensitive information.
  • Contribute to the firm's success by supporting operational transitions and maintaining productivity in dynamic environments.

Key Responsibilities & Duties

  • Format legal documents using advanced Microsoft Word features, including TOA, TOC, and Styles, ensuring professional presentation.
  • Summarize case details and prepare detailed reports for attorneys and clients to support litigation strategies.
  • Conduct research and fact investigation to assist in case development and preparation.
  • Draft, proofread, and finalize legal documents, ensuring compliance with procedural requirements and deadlines.
  • File documents electronically with courts, adhering to jurisdictional guidelines and timelines.
  • Manage attorney calendars, coordinate meetings, and arrange travel logistics for streamlined operations.
  • Organize and maintain exhibits, briefs, and appendices for litigation proceedings, ensuring readiness for court presentations.
  • Assist with trial preparation, including binder creation, exhibit indexing, and logistical support.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably with a focus on legal studies or related fields.
  • Minimum of 5 years of legal secretarial experience, with 7 years preferred for advanced proficiency.
  • Expertise in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint, for document and schedule management.
  • Experience with e-Filing systems and litigation documentation processes, ensuring compliance and accuracy.
  • Strong organizational skills and ability to manage multiple deadlines effectively in a high-pressure environment.
  • Knowledge of motions, discovery, evidence, and litigation procedures to support attorneys effectively.
  • Excellent writing and communication skills with meticulous attention to detail and professionalism.
  • Flexibility to work beyond regular hours and adapt to dynamic work arrangements as needed.
