Job Description

Overview

  • Collaborate with leadership to execute operational projects aligned with team priorities and organizational goals.
  • Provide project management expertise to ensure smooth execution of departmental initiatives and objectives.
  • Utilize technical applications for collaboration, document management, and project tracking effectively.
  • Support leadership meetings, offsites, and functional activities with comprehensive agenda and material preparation.
  • Develop and maintain tracking systems, dashboards, and metrics to monitor project progress.
  • Manage SharePoint sites, including creation, documentation, workflows, and permissions.
  • Assist with document management using tools like Veeva, Icertis, and other relevant platforms.
  • Provide operational support for inspections, audits, contracts, budgets, and purchase orders.

Key Responsibilities & Duties

  • Coordinate and manage functional and leadership meetings, including scheduling, material preparation, and action item tracking.
  • Create and maintain project documentation, dashboards, and planning tools for effective project oversight.
  • Develop and manage SharePoint sites to support departmental and project documentation needs.
  • Support document management processes using industry-standard tools and platforms.
  • Act as a point of contact for departmental communications and handle sensitive information responsibly.
  • Assist with contracts, budgets, purchase orders, and other operational tasks as required.
  • Prepare and manage communications for departmental meetings, awards, and publications.
  • Provide operational support for inspections, audits, and special projects as needed.

Job Requirements

  • Bachelor’s degree in science, business, or related field required.
  • Minimum of 3 years of experience in life sciences or biotech with project coordination expertise.
  • Proficiency in Microsoft Office Suite, SharePoint Online, and project management tools.
  • Strong organizational, communication, and multitasking skills essential for independent work.
  • Experience with document management platforms like Veeva and Icertis preferred.
  • Ability to manage sensitive and confidential information responsibly.
  • Demonstrated expertise in creating and maintaining tracking systems and dashboards.
  • Knowledge of inspection and audit preparation processes beneficial.
