Job Description

Overview

  • Provide essential administrative and clerical support to attorneys in a dynamic legal environment.
  • Manage and organize legal documents, case files, and client records with precision.
  • Coordinate schedules, appointments, and travel arrangements to ensure seamless operations.
  • Conduct legal research and update case management systems effectively.
  • Assist with billing, invoicing, and preparation of expense reports for attorneys.
  • Support court and deposition preparations, ensuring readiness and accuracy.
  • Maintain confidentiality and privacy in handling sensitive client communications.
  • Collaborate across teams to achieve organizational goals and enhance efficiency.

Key Responsibilities & Duties

  • Organize and maintain legal documents, case files, and client records accurately.
  • Prepare and proofread legal documents, ensuring compliance with standards.
  • Schedule appointments, meetings, and court dates, managing calendars effectively.
  • Coordinate travel arrangements, including air, hotel, and car bookings.
  • Respond to client inquiries, relay messages, and maintain confidentiality.
  • Conduct basic legal research and gather information from various sources.
  • Assist with financial tasks, including billing, invoicing, and tracking payments.
  • Support attorneys in court preparations and deposition activities.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in a relevant field.
  • Minimum of 3 years of experience in legal administrative roles; 5 years preferred.
  • Proficiency in document management systems and case management software.
  • Strong organizational skills and attention to detail in managing records.
  • Effective communication skills, both written and verbal, with diverse audiences.
  • Ability to conduct basic legal research and compile accurate data.
  • Experience in scheduling and coordinating travel arrangements.
