Overview

  • Serve as an Executive Business Assistant supporting the CEO, CFO, and EVP of Growth in a dynamic, high-velocity environment.
  • Act as a critical liaison across departments, ensuring seamless communication and operational efficiency.
  • Execute both foundational administrative tasks and advanced strategic initiatives to enhance executive productivity.
  • Leverage AI tools and project management systems to streamline workflows and decision-making processes.
  • Collaborate closely with executives to prioritize tasks and manage competing priorities effectively.
  • Maintain discretion and confidentiality while handling sensitive information and executive communications.
  • Adapt to a fast-paced, founder-led organization with a focus on ecommerce and direct-response business models.
  • Contribute to cross-functional alignment and ensure project continuity across executive teams.

Key Responsibilities & Duties

  • Manage calendars, inboxes, scheduling, and meeting preparations for multiple executives with precision and attention to detail.
  • Create and distribute decision-ready briefs from scattered inputs across various communication channels.
  • Operate and enhance existing AI systems to optimize executive workflows and productivity.
  • Facilitate cross-departmental communication and expedite project handoffs to maintain momentum.
  • Support executives in prioritizing tasks and reducing workload complexity effectively.
  • Ensure seamless execution of administrative and operational tasks, maintaining high standards of quality.
  • Provide asynchronous coverage to manage overlapping executive priorities and schedules.
  • Handle sensitive information with discretion and professionalism, ensuring confidentiality at all times.

Job Requirements

  • Bachelor of Science (BS) degree required, with a strong foundation in business or related fields.
  • Minimum of 5 years of experience supporting multiple executives in high-velocity environments.
  • Proficiency in ecommerce, direct-response, or founder-led business models, with a clear understanding of operational dynamics.
  • Advanced skills in project management tools such as ClickUp, Asana, or Monday.com.
  • Experience with AI tools and systems, with a commitment to ongoing learning and application.
  • Exceptional attention to detail and ability to manage complex schedules and priorities.
  • Strong written and verbal communication skills, with a focus on clarity and brevity.
