Job Description

Overview

  • Serve as the first point of contact for clients, visitors, and staff, ensuring a welcoming and professional environment.
  • Provide administrative support to maintain smooth day-to-day operations within a professional services environment.
  • Manage reception area, including answering calls, scheduling appointments, and handling mail and deliveries.
  • Assist in preparing client packets and tax return folders during peak seasons.
  • Coordinate internal events, meetings, and training sessions as needed.
  • Maintain confidentiality of sensitive client and firm information.
  • Ensure office supplies are stocked and orders are placed timely.
  • Support partners and managers with administrative tasks and firm operations.

Key Responsibilities & Duties

  • Greet and assist clients, visitors, and staff in a courteous manner.
  • Answer and route incoming phone calls to appropriate personnel.
  • Maintain and organize reception area for a professional appearance.
  • Schedule appointments and manage meeting room calendars effectively.
  • Assist with scanning, copying, mailing, and filing documents.
  • Prepare and assemble tax return folders and client packets.
  • Support internal coordination for events, meetings, and training sessions.
  • Ensure timely distribution of mail, packages, and courier deliveries.

Job Requirements

  • High school diploma or equivalent; Associate’s degree preferred.
  • 1–2 years of receptionist or administrative experience in professional services.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Strong verbal and written communication skills.
  • Professional appearance and demeanor with excellent client service skills.
  • Ability to multitask, prioritize, and maintain composure under pressure.
  • Experience with accounting/tax software is a plus.
  • Familiarity with handling sensitive financial or client documents preferred.
