Job Description

Overview

  • Manage billing, collections, and reporting for assigned attorneys in a hybrid work environment.
  • Collaborate with administrative assistants to ensure accurate invoice production and submission.
  • Work with high-volume, complex billing processes, including multi-payor and split billing scenarios.
  • Utilize systems like Aderant/Elite and Excel for billing and reporting tasks.
  • Engage proactively in a fast-paced, team-oriented environment to meet deadlines.
  • Ensure compliance with engagement letters, billing guidelines, and outside counsel policies.
  • Prepare and submit invoices via third-party e-billing systems, resolving submission issues.
  • Assist with testing and documentation of new billing processes and applications.

Key Responsibilities & Duties

  • Produce prebills and ad-hoc reports on-demand and periodically as required.
  • Edit and finalize draft bills per attorney instructions and client guidelines.
  • Conduct regular meetings with attorneys to review client inventory and update system comments.
  • Cross-train with colleagues to provide coverage and address inquiries.
  • Prepare and submit invoices via e-billing systems, ensuring client requirements are met.
  • Collaborate with the Collections & Appeals Team to resolve past due balances.
  • Respond promptly to billing-related inquiries from attorneys, clients, and management.
  • Assist in testing and documenting new processes and applications.

Job Requirements

  • Bachelor’s degree preferred, with strong mathematical aptitude and analytical skills.
  • Minimum of 3 years of experience in a major law firm billing environment.
  • Proficiency in Aderant Expert or equivalent accounting systems like Elite or 3E.
  • Experience with eBilling applications such as eHub, BillBlast, Tymetrix, Serengeti, and Collaborati.
  • Advanced Excel skills, including pivot tables and VLOOKUPs.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to manage a varied workload and meet deadlines in a fast-paced environment.
  • Demonstrated ability to work collaboratively with lawyers and staff.
