Overview
- Support attorneys with administrative tasks, document management, and scheduling in a hybrid role combining office management and receptionist duties.
- Coordinate client communications, court filings, and case file organization to ensure smooth litigation processes.
- Maintain office operations, including supply management, event coordination, and ensuring a welcoming environment for visitors.
- Provide professional front desk services, answering calls and managing visitor check-ins with courtesy and efficiency.
- Collaborate with attorneys to manage calendars, deadlines, and bar memberships effectively.
- Ensure compliance with legal procedures and court rules across multiple jurisdictions.
- Contribute to a dynamic and fast-paced litigation environment with a proactive and detail-oriented approach.
Key Responsibilities & Duties
- Draft and proofread legal documents, including pleadings and correspondence, ensuring accuracy and adherence to legal standards.
- Manage case files, organizing discovery materials and maintaining accessibility for attorneys.
- Coordinate with clients, court personnel, and other parties to facilitate litigation processes.
- Handle electronic filing and service of court documents in Maryland, DC, and Virginia.
- Schedule and coordinate meetings, depositions, hearings, and other appointments, assisting with preparation.
- Maintain attorney calendars, deadlines, expense reports, and bar memberships.
- Provide front desk services, answering calls and managing visitor interactions professionally.
- Oversee office operations, including supply management, event coordination, and maintaining common areas.
Job Requirements
- 5+ years of administrative support experience in a commercial litigation environment.
- Bachelor's degree or equivalent professional experience preferred.
- Proficiency in Microsoft Office, document management systems, and litigation software.
- Knowledge of legal procedures, terminology, and court rules in Maryland, DC, and Virginia.
- Strong verbal and written communication skills, with a client-focused approach.
- Ability to adapt to changing priorities and work in a fast-paced environment.
- Experience with e-filing in state and federal courts.
- Detail-oriented and proactive, with problem-solving and critical-thinking abilities.
