Overview
- Support attorneys with administrative and secretarial tasks in a dynamic legal environment.
- Prepare and manage legal documents, correspondence, and confidential memoranda.
- Coordinate and schedule meetings, appointments, and travel arrangements for attorneys.
- Assist with court e-filings and ensure compliance with legal procedures.
- Handle incoming and outgoing mail, ensuring timely delivery and processing.
- Maintain attorneys' legal and administrative files with confidentiality and accuracy.
- Provide proofreading and editing support for legal documents and billing sheets.
- Collaborate with other legal assistants and attorneys to ensure smooth office operations.
- Attend client meetings to witness and manage client documents as needed.
Key Responsibilities & Duties
- Perform secretarial and administrative duties under general supervision for attorneys.
- Transcribe legal briefs, correspondence, and memoranda from rough drafts or oral dictation.
- Prepare legal documents, ensuring accuracy and adherence to legal standards.
- Manage attorneys' calendars, scheduling meetings and appointments effectively.
- Assist with travel arrangements, reimbursements, and internal correspondence.
- Process and proof bills, ensuring accuracy and proper formatting.
- Handle incoming calls, messages, and mail for attorneys and staff.
- Maintain and organize confidential legal and administrative files.
- Collaborate with team members to support office operations and client services.
Job Requirements
- High School Diploma or GED required; additional certifications in legal assistance preferred.
- Minimum 3 years of legal assistance experience, with a preference for 5 years.
- Proficiency in MS Word, Outlook, Excel, and digital dictation tools like BigHand.
- Strong knowledge of legal terminology, document preparation, and court procedures.
- Ability to type at least 70 words per minute with accuracy.
- Excellent proofreading skills and attention to detail in legal documentation.
- Effective oral and written communication skills for client and team interactions.
- Ability to multitask and stay organized in a fast-paced environment.
