Job Description

Overview

  • Lead administrative functions for construction projects, ensuring compliance and accuracy throughout the project lifecycle.
  • Collaborate with project managers and subcontractors to streamline processes and resolve discrepancies.
  • Supervise and mentor project coordinators, fostering professional growth and maintaining high standards.
  • Oversee office operations, including vendor management and facility logistics.
  • Ensure compliance with statutory requirements and manage contract administration workflows.
  • Utilize ERP systems for project setup and data management, ensuring accuracy and completeness.
  • Coordinate logistics for company events, including travel arrangements and venue scheduling.
  • Maintain professional relationships with building management and oversee office maintenance requests.

Key Responsibilities & Duties

  • Administer project setup and lifecycle management using Trimble Viewpoint Vista and Procore systems.
  • Manage subcontract workflows, ensuring compliance with insurance and contract requirements.
  • Prepare and file Notices of Commencement, maintaining compliance with statutory requirements.
  • Supervise project coordinators, providing guidance and quality reviews of administrative processes.
  • Develop and improve standard operating procedures for project coordination workflows.
  • Oversee office operations, including supply procurement and vendor relationship management.
  • Coordinate logistics for company events, ensuring smooth execution and hospitality.
  • Act as liaison with building management for facility matters and lease compliance.

Job Requirements

  • Bachelor’s degree in Business Administration, Construction Management, or related field preferred.
  • 8-15 years of experience in construction project coordination or administration.
  • Proficiency in Trimble Viewpoint Vista and Procore ERP systems.
  • Strong knowledge of subcontract administration and owner contract management.
  • Experience supervising or mentoring direct reports in administrative roles.
  • Exceptional attention to detail and document accuracy in contract administration.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with lien law compliance and statutory filing requirements across states.
