Job Description

Overview

  • Serve as the primary support for the Managing Partner, ensuring seamless operations and communication.
  • Coordinate schedules, travel arrangements, and meetings for the Managing Partner and occasionally accompanying family members.
  • Prepare and manage internal materials, reports, and correspondence for various business activities.
  • Act as the liaison between the Managing Partner and internal/external stakeholders, ensuring efficient information flow.
  • Support marketing and client service initiatives, contributing to the firm's strategic goals.
  • Maintain a high level of organization and prioritize tasks in a dynamic environment.
  • Uphold the firm's values of integrity, excellence, and authentic communication.

Key Responsibilities & Duties

  • Schedule and coordinate all internal and external meetings for the Managing Partner.
  • Manage travel arrangements, including coordination with travel agencies and preparation of itineraries.
  • Prepare reports, memos, invoices, and other essential documents for business operations.
  • Handle incoming correspondence, ensuring timely sorting and distribution.
  • Utilize software tools for document creation, data management, and presentations.
  • Maintain records databases and ensure accurate filing and retrieval of corporate documents.
  • Provide excellent customer service to internal and external clients, fostering strong relationships.
  • Assist in organizing and executing time-sensitive tasks, including occasional weekend responsibilities.

Job Requirements

  • Bachelor of Arts degree required, with proven experience in executive assistant roles.
  • Minimum 2 years of relevant experience, with a preference for candidates with 5 years.
  • Proficiency in MS Office Suite and other relevant software tools.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with attention to detail.
  • Ability to work in a fast-paced, regulated industry environment.
