Job Description

Overview

  • Support senior leadership in operational and administrative tasks within a dynamic private equity environment.
  • Coordinate complex schedules, meetings, and travel arrangements across multiple time zones.
  • Maintain CRM systems, update client information, and prepare marketing materials.
  • Assist in planning and executing internal and external events and engagements.
  • Provide professional communication support, acting as a central contact point for stakeholders.
  • Contribute to special projects, enhancing operational efficiency and team collaboration.

Key Responsibilities & Duties

  • Manage executive calendars proactively, prioritizing meetings and coordinating across time zones.
  • Organize travel logistics, including flights, accommodations, and detailed itineraries.
  • Prepare marketing and presentation materials for internal and external use.
  • Maintain CRM databases, entering client details and meeting notes accurately.
  • Coordinate events and hospitality needs for client engagements and team meetings.
  • Process expense reports and invoices, ensuring accurate record-keeping and reconciliation.
  • Provide backup administrative support to other team members as needed.
  • Undertake special projects to enhance team operations and client relations.

Job Requirements

  • Bachelor’s degree in Arts or related field required.
  • Minimum of 5 years of experience as an Executive Assistant, preferably in investment sales.
  • Advanced proficiency in Microsoft Office Suite and Adobe tools.
  • Experience with Salesforce/Dakota CRM and Concur expense management systems preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proactive approach to tasks with a dynamic and positive attitude.
  • Familiarity with AI tools and willingness to adopt new technologies.
