Job Description

Overview

  • The Production Assistant role supports daily operations through scanning, printing, and assembling exhibits and transcripts.
  • Ensure adherence to productivity goals, quality control standards, and customer requirements.
  • Collaborate with team members to maintain operational efficiency and meet deadlines.
  • Operate and maintain equipment such as scanners, copiers, and bindery tools.
  • Assist in packaging and shipping materials, coordinating with courier services.
  • Perform data entry tasks to update production steps and records accurately.
  • Support organizational goals by ensuring confidentiality and compliance with regulations.
  • Contribute to maintaining a clean and organized production environment.

Key Responsibilities & Duties

  • Verify job instructions for accuracy, including exhibits, case details, and priority status.
  • Duplicate and archive media files such as CDs, DVDs, and USBs.
  • Scan and upload exhibits, ensuring proper file naming and repository updates.
  • Print, tab, and assemble exhibits and transcripts for shipment.
  • Prepare and coordinate shipping labels and courier arrangements.
  • Assist in training new employees and cross-training team members.
  • Ensure compliance with HIPAA regulations and confidentiality standards.
  • Perform data entry tasks to document production processes accurately.

Job Requirements

  • Associate of Arts (AA) degree or equivalent educational background required.
  • Minimum of 2 years of experience in administrative or legal support roles.
  • Proficiency in general computer applications such as Microsoft Office and Adobe Acrobat.
  • Strong organizational skills and attention to detail.
  • Ability to work under pressure and meet strict deadlines.
  • Familiarity with subpoenas, depositions, and affidavits is advantageous.
  • Experience in multi-function, multi-geography environments preferred.
  • Flexible schedule with availability for occasional overtime.
