Job Description

Overview

  • Serve as the first point of contact, ensuring a welcoming and professional office environment.
  • Manage front desk operations, including greeting visitors and directing phone calls.
  • Perform administrative tasks such as mail sorting, data entry, and filing.
  • Support basic billing processes and assist with check deposits.
  • Maintain organized physical and electronic filing systems for easy access.
  • Collaborate with the team to provide general administrative support as needed.
  • Ensure a professional demeanor and customer-focused attitude in all interactions.
  • Work onsite during regular business hours, 8:30 AM to 4:00 PM.

Key Responsibilities & Duties

  • Answer and direct incoming phone calls professionally and courteously.
  • Greet visitors and manage front desk operations effectively.
  • Sort, open, and distribute incoming mail and packages promptly.
  • Assist in check deposits and provide support for basic billing tasks.
  • Maintain and organize filing systems, both physical and electronic.
  • Perform accurate data entry tasks to support office functions.
  • Provide general administrative support to team members as required.
  • Ensure a positive and professional interaction with clients and visitors.

Job Requirements

  • Associate of Science (AS) degree or equivalent educational background.
  • Minimum of 2 years of experience in receptionist or administrative roles.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills for effective interaction.
  • Highly organized with excellent attention to detail and multitasking abilities.
  • Bilingual Spanish preferred but not required for the role.
  • Professional demeanor and customer-focused attitude essential.
