Job Description

Overview

  • Provide high-level administrative support to senior leadership in a dynamic, advocacy-driven environment.
  • Coordinate schedules, meetings, and communications to ensure seamless executive operations.
  • Manage executive inboxes, prioritizing tasks and ensuring timely responses.
  • Assist in planning and executing events, meetings, and logistical arrangements.
  • Collaborate with stakeholders in advocacy and political initiatives to support organizational goals.
  • Utilize advanced tools like Outlook and SAP systems for efficient task management.
  • Ensure smooth transitions and provide training during role handovers.
  • Work onsite to maintain direct engagement with leadership and team members.

Key Responsibilities & Duties

  • Coordinate executive schedules, appointments, and follow-ups to optimize time management.
  • Manage inboxes and communications, ensuring clarity and prioritization of tasks.
  • Support event planning, including logistics, setup, and execution for meetings.
  • Collaborate with the Associate Director and Chief of Staff on administrative needs.
  • Utilize tools like Outlook and SAP systems for scheduling and expense tracking.
  • Provide onsite support to ensure smooth executive office operations.
  • Engage with stakeholders in advocacy and political initiatives to advance organizational goals.
  • Assist in onboarding and training processes for new personnel.

Job Requirements

  • Minimum of 3 years of experience as an Executive or Administrative Assistant.
  • Proficiency in Outlook and SAP systems for task and expense management.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Familiarity with advocacy and political initiatives is preferred.
  • Ability to work onsite five days a week for direct engagement.
  • Excellent communication skills for interacting with leadership and stakeholders.
  • Flexibility to adapt to dynamic office needs and start immediately.
