Job Description

Overview

  • Coordinate and support event planning activities for a dynamic organization.
  • Assist in administrative tasks, including drafting schedules and maintaining distribution lists.
  • Ensure event spaces are maintained and inventory is managed effectively.
  • Provide support in creating event materials such as name badges and program materials.
  • Collaborate with hospitality and facilities teams for event space upkeep.
  • Assist with event setup, check-in, and on-site tasks as needed.
  • Perform additional duties and projects as assigned by management.

Key Responsibilities & Duties

  • Draft and distribute monthly event schedules, maintaining distribution lists.
  • Submit daily vendor lists to ensure building access for approved vendors.
  • Monitor perishable items and reorder supplies as needed.
  • Coordinate with teams to maintain event spaces and ensure cleanliness.
  • Support the creation of event collateral, including badges and program materials.
  • Assist with event setup, including name badge lists and check-in processes.
  • Provide administrative support to senior managers and directors.
  • Perform other tasks and projects as assigned by management.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • 1-2 years of experience in event coordination or related field preferred.
  • Experience with Cvent is a plus but not mandatory.
  • Strong organizational and multitasking skills essential.
  • Ability to work on-site during standard business hours.
  • Excellent communication skills for vendor and team coordination.
  • Proficiency in managing event materials and inventory.
  • Ability to adapt and perform additional tasks as needed.
