Job Description

Overview

  • Manage daily office operations, ensuring a welcoming and efficient environment for employees and visitors.
  • Act as the primary point of contact for building management and office-related inquiries.
  • Support the CEO with executive assistant tasks, including calendar management and travel arrangements.
  • Coordinate office supplies, pantry replenishment, and conference room scheduling.
  • Ensure compliance with company policies and local regulations regarding office security and safety.
  • Facilitate logistics for employee requests, including building access and maintenance needs.
  • Oversee office budget tracking, including expenses for events, supplies, and food.
  • Maintain a clean and organized office environment, addressing repair and enhancement needs.
  • Coordinate vendor relationships, ensuring timely and accurate service delivery.

Key Responsibilities & Duties

  • Greet visitors and provide a positive first impression of the company.
  • Answer phones, direct calls, and manage mail and package logistics.
  • Maintain conference room schedules and coordinate office events.
  • Order and stock office supplies, snacks, and beverages.
  • Support CEO with administrative tasks, including calendaring and travel arrangements.
  • Coordinate with building management for maintenance and facility needs.
  • Track sustainability measures and prepare annual reviews.
  • Ensure compliance with company policies for travel and entertainment expenses.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 3 years of experience in office management or related roles.
  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.
