Overview
- Provide high-level executive support to C-suite leadership during a temporary contract period.
- Manage executive calendars, coordinate meetings, and organize events with precision and confidentiality.
- Handle travel arrangements, including booking, itinerary planning, and expense reconciliation.
- Ensure seamless communication with internal and external stakeholders, maintaining professionalism at all times.
- Track and report on projects, providing updates and ensuring deadlines are met.
- Work on-site to support corporate operations and senior leadership effectively.
- Utilize tools such as Google Calendar, Concur, Coupa, Gmail, and Outlook for efficient task management.
- Maintain high confidentiality and professionalism in all aspects of the role.
Key Responsibilities & Duties
- Coordinate and manage executive schedules, ensuring optimal time management and prioritization.
- Plan and execute meetings and events, handling logistics and attendee communication.
- Arrange travel plans, including transportation, accommodation, and itinerary creation.
- Prepare and reconcile expense reports using tools such as Concur and Coupa.
- Handle confidential documents and sensitive information with discretion and integrity.
- Facilitate communication between executives and stakeholders, ensuring clarity and professionalism.
- Track project progress, compile reports, and provide updates to senior leadership.
- Support corporate operations by performing administrative tasks and coordinating activities.
Job Requirements
- Minimum of 4 years of experience in executive support roles, with 7 years preferred.
- High School Diploma or GED required; additional certifications are advantageous.
- Proficiency in Google Calendar, Concur, Coupa, Gmail, and Outlook for task management.
- Strong organizational skills with the ability to manage multiple priorities effectively.
- Excellent communication skills, both written and verbal, for stakeholder interaction.
- Demonstrated ability to handle confidential information with discretion and professionalism.
