Job Description

Overview

  • Provide comprehensive administrative support to attorneys in a dynamic legal setting, ensuring seamless operations and effective case management.
  • Manage legal documents, case files, and client records with precision and confidentiality, supporting high-quality legal services.
  • Coordinate schedules, meetings, and travel arrangements to optimize attorneys' time and productivity.
  • Assist in preparing and proofreading legal documents, ensuring accuracy and compliance with legal standards.
  • Conduct legal research and update case management systems to support informed decision-making.
  • Collaborate with cross-functional teams to enhance organizational efficiency and achieve strategic goals.
  • Support billing and invoicing processes, including expense report preparation and financial tracking.
  • Maintain confidentiality in handling sensitive client communications and legal matters.

Key Responsibilities & Duties

  • Organize and maintain legal documents, ensuring accessibility and compliance with record-keeping standards.
  • Prepare, proofread, and format legal documents to support case preparation and court submissions.
  • Manage attorneys' schedules, coordinating appointments, court dates, and travel plans efficiently.
  • Conduct legal research and compile data to assist attorneys in case development and strategy.
  • Respond to client inquiries, relay messages, and ensure professional communication standards are upheld.
  • Support financial processes, including billing, invoicing, and tracking payments accurately.
  • Assist in court and deposition preparations, ensuring all materials and logistics are in place.
  • Collaborate with team members to streamline workflows and improve operational efficiency.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in a relevant field such as legal studies or business administration.
  • Minimum of 3 years of experience in legal administrative roles; 5 years preferred for advanced responsibilities.
  • Proficiency in document management systems and case management software to ensure efficient operations.
  • Strong organizational skills and attention to detail in managing legal records and schedules.
  • Effective communication skills, both written and verbal, for interacting with diverse stakeholders.
  • Ability to conduct legal research and compile accurate data to support attorneys' needs.
  • Experience in scheduling and coordinating travel arrangements for professional purposes.
