Overview
- Serve as a trusted Executive Assistant supporting C-suite executives in a dynamic family office environment.
- Manage complex professional and personal schedules with precision and adaptability.
- Act as a gatekeeper, ensuring executives' time is optimized and well-prepared for engagements.
- Coordinate board-level activities, including calendaring, material preparation, and follow-up.
- Handle personal logistics, including household arrangements and local transportation coordination.
- Collaborate with the family office team to support shared logistics and operations.
- Maintain confidentiality and discretion in all professional and personal matters.
- Work primarily on-site with flexibility for remote work on Fridays after onboarding.
Key Responsibilities & Duties
- Proactively manage executive calendars, resolving conflicts and ensuring seamless scheduling.
- Coordinate board-level activities, including meeting preparation, minutes, and action item follow-ups.
- Arrange personal appointments, household logistics, and local transportation for executives.
- Collaborate with the family office team to support shared operational needs.
- Maintain an in-office presence during standard hours, with flexibility for occasional evening or weekend tasks.
- Ensure executives are prepared for daily meetings and obligations with all necessary materials.
- Uphold the highest standards of confidentiality and professionalism in all interactions.

Job Requirements
- Bachelor of Arts degree with 8-10+ years of executive assistant experience.
- Proven ability to support C-suite executives or high-net-worth individuals effectively.
- Exceptional organizational skills and attention to detail in managing schedules and logistics.
- Strong interpersonal skills, including warmth, kindness, and high emotional intelligence.
- Ability to maintain discretion and confidentiality in sensitive matters.
- Resilience and a positive attitude in a fast-paced, demanding environment.
- Flexibility to adapt to changing schedules and occasional evening or weekend work.
