Job Description

Overview

  • Provide executive-level administrative support to the Chief Compliance Officer, ensuring seamless operations in a dynamic environment.
  • Coordinate schedules, meetings, and communications, acting as a liaison between internal and external stakeholders.
  • Maintain confidentiality and professionalism while managing sensitive information and correspondence.
  • Thrive in a fast-paced, front-office environment, demonstrating adaptability and efficiency.
  • Support trading floor operations with administrative expertise, ensuring compliance and operational excellence.
  • Enhance executive productivity through proactive problem-solving and organizational skills.
  • Collaborate with cross-functional teams to facilitate strategic initiatives and projects.
  • French-speaking proficiency is advantageous but not mandatory for this role.

Key Responsibilities & Duties

  • Manage complex calendars, scheduling meetings and appointments for the Chief Compliance Officer.
  • Prepare and edit correspondence, reports, and presentations with high attention to detail.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
  • Act as the primary point of contact for internal and external communications.
  • Handle expense reporting and budget tracking for the compliance department.
  • Support compliance-related projects and initiatives with administrative expertise.
  • Ensure adherence to company policies and procedures in all administrative tasks.
  • Provide assistance during audits and compliance reviews as required.

Job Requirements

  • Bachelor of Arts degree required, with a focus on business or related fields preferred.
  • Minimum 10 years of experience as an Executive Assistant supporting MD-level or C-suite executives.
  • Experience in front-office or trading floor environments, demonstrating adaptability and efficiency.
  • Exceptional organizational skills and attention to detail in managing complex tasks.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Strong communication skills, both written and verbal, with a polished and professional demeanor.
  • Ability to handle sensitive information with discretion and confidentiality.
  • French language skills are a plus but not mandatory for this role.
