Job Description

Overview

  • Manage office operations, facilities, and vendor relationships to ensure seamless functionality and professional standards.
  • Lead and coach the administrative team, fostering collaboration and efficiency in a dynamic environment.
  • Develop and maintain standard operating procedures for administrative and office processes.
  • Coordinate with cross-functional teams to support onboarding and organizational initiatives.
  • Oversee budget management, expense tracking, and cost optimization for office operations.
  • Plan and execute Pittsburgh-based events, ensuring detailed documentation for future reference.
  • Collaborate with technology specialists to troubleshoot and maintain office equipment and systems.
  • Support emergency procedures, safety protocols, and business continuity planning.

Key Responsibilities & Duties

  • Supervise and mentor the Pittsburgh administrative team, ensuring alignment with organizational goals.
  • Coordinate office maintenance, repairs, and workspace planning to maintain a professional environment.
  • Manage vendor relationships to enhance service levels and operational efficiency.
  • Troubleshoot and coordinate solutions for videoconferencing and computer equipment issues.

Job Requirements

  • Bachelor of Science (BS) degree required, with a focus on relevant fields.
  • Minimum of 6 years of experience in office management or related roles.
  • Preferred 8 years of experience in administrative leadership or facilities management.
  • Proven ability to manage teams and coordinate cross-functional initiatives effectively.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Experience with vendor management and budget oversight for office operations.
  • Proficiency in troubleshooting office equipment and coordinating technical solutions.
