Job Description

Overview

  • Support legal operations by managing case files, providing client assistance, and maintaining accurate records.
  • Perform receptionist duties, including answering calls, routing messages, and liaising between attorneys and clients.
  • Utilize databases for data entry, searches, and retrieval of case-related information.
  • Assist attorneys by accessing court records and providing case-related information.
  • Handle document management tasks such as copying, scanning, and distributing materials.
  • Provide general information to clients, families, vendors, and staff as needed.
  • Ensure mail sorting and distribution is completed efficiently and accurately.
  • Collaborate with team members to support legal processes and maintain operational efficiency.

Key Responsibilities & Duties

  • Provide reception coverage, including answering phones and routing calls to legal staff.
  • Record case information using manual or electronic systems for accurate documentation.
  • Enter and retrieve data from various databases to support case management.
  • Assist attorneys by accessing court records and providing relevant case information.
  • Create and maintain case files, ensuring all documents are properly organized.
  • Sort and distribute mail to appropriate recipients within the organization.
  • Perform clerical tasks such as copying, scanning, and collating documents.
  • Act as a liaison between attorneys and clients, facilitating communication and information exchange.

Job Requirements

  • High school diploma or GED required; additional qualifications are advantageous.
  • Minimum of 2 years of relevant work experience in a legal or administrative role.
  • Proficiency in computer skills, including database management and office software.
  • Strong interpersonal, communication, and organizational abilities.
  • Capability to work independently and collaboratively within a team setting.
  • Effective problem-solving and multitasking skills to manage diverse responsibilities.
  • Knowledge of NYC public transportation for field-related tasks.
  • Flexibility to work in office, courtroom, and other field settings as required.
