Overview

  • Provide administrative support in a professional services environment, ensuring smooth daily operations and efficient office management.
  • Assist with mail handling, document scanning, and distribution tasks to maintain workflow efficiency.
  • Coordinate front desk activities, including monitoring access and greeting visitors professionally.
  • Manage kitchen and supply areas, ensuring cleanliness and adequate stock levels.
  • Collaborate with vendors for office repairs and building maintenance as needed.
  • Conduct office walkthroughs to identify and address organizational and maintenance issues.
  • Utilize advanced Microsoft Office Suite skills for document creation, processing, and presentation tasks.
  • Support a dynamic team environment, contributing to process improvement initiatives.

Key Responsibilities & Duties

  • Handle incoming and outgoing mail, packages, and document scanning tasks efficiently.
  • Create labels, nametags, and perform light word processing, printing, and binding tasks.
  • Monitor office access, greet guests, and ensure a welcoming environment.
  • Order, restock, and organize kitchen and office supplies to maintain functionality.
  • Coordinate with vendors for office repairs and building maintenance requirements.
  • Conduct regular office walkthroughs to ensure neatness and address organizational needs.
  • Utilize advanced computer skills for efficient document management and communication tasks.
  • Maintain confidentiality and professionalism in all interactions and tasks.

Job Requirements

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Minimum of three years of administrative experience, preferably in a professional services firm.
  • Proficiency in Microsoft Office Suite at an advanced level is essential.
  • Experience with PeopleSoft Financials is preferred.
  • Strong organizational skills and attention to detail for efficient multitasking.
  • Excellent written and oral communication skills, including superior grammar and punctuation.
  • Ability to manage confidential information with discretion and professionalism.
