Operations Administrator Overview
- The Operations Administrator will support the Exhibits and Sponsorships team in planning and executing conferences and events.
- Assist with exhibitor and sponsor management, ensuring seamless event coordination and execution.
- Work with a mission-driven organization, gaining exposure to defense technologies and career growth opportunities.
- Collaborate with internal teams and external stakeholders to ensure successful event outcomes.
- Utilize the A2Z event management platform to manage event logistics and data effectively.
- Hybrid work schedule with occasional travel for events, providing flexibility and dynamic work experiences.

Operations Administrator Key Responsibilities & Duties
- Provide administrative support for multiple conferences, exhibitions, and sponsorship programs simultaneously.
- Coordinate exhibitor and sponsor communications, ensuring timely responses and accurate information dissemination.
- Manage exhibitor and sponsor data within association databases, maintaining accuracy and completeness.
- Assist with exhibit booth sales, sponsorship fulfillment, and exhibitor registration processes.
- Collaborate with meeting planners and internal teams to align event logistics with overall planning.
- Support pre-event logistics, including signage, vendor coordination, and exhibitor communications.
- Maintain event files and assist with post-event reporting and analysis to improve future events.
- Serve as a liaison between exhibitors, sponsors, vendors, and internal staff throughout the event lifecycle.
Operations Administrator Job Requirements
- Minimum of 2 years of experience in event planning or related fields; 4 years preferred.
- Proficiency with the A2Z event management platform is strongly preferred.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills for effective stakeholder engagement.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Ability to work independently while collaborating effectively with a small team.
- Experience with exhibit booth sales, sponsorship administration, or exhibitor services is a plus.
