Job Description

Receptionist Overview

  • The Receptionist serves as the welcoming face of the client’s professional services firm, ensuring smooth daily operations and exceptional client service.
  • Create a professional and friendly environment for clients, vendors, and guests, reflecting the firm’s values.
  • Provide administrative support to partners, managers, and staff, contributing to efficient office workflows.
  • Manage front desk operations, including greeting visitors and handling incoming communications.
  • Coordinate schedules, maintain meeting room calendars, and assist with event organization.
  • Prepare and assemble client documents during busy seasons, ensuring accuracy and confidentiality.
  • Maintain office supplies inventory and oversee mail and package distribution.
  • Work in a collaborative and supportive environment within a friendly office setting.

Receptionist Key Responsibilities & Duties

  • Greet clients, visitors, and staff professionally, ensuring a welcoming atmosphere.
  • Answer and route incoming phone calls, managing inquiries effectively.
  • Maintain a clean and organized reception area to uphold the firm’s image.
  • Schedule appointments and manage meeting room bookings efficiently.
  • Assist with administrative tasks such as scanning, copying, mailing, and filing.
  • Prepare and assemble tax return folders or client packets during peak seasons.
  • Support internal coordination for firm events, meetings, and training sessions.
  • Maintain confidentiality of sensitive client and firm information at all times.

Receptionist Job Requirements

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Minimum 3 years of experience in a receptionist or administrative role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) essential.
  • Professional appearance and demeanor with strong communication skills.
  • Ability to multitask, prioritize, and work under pressure effectively.
  • Experience in professional services or accounting environments preferred.
  • Familiarity with accounting/tax software is an advantage.
  • Commitment to working on-site full-time, Monday through Friday.
