Patient Service Representative Overview

  • The Patient Service Representative plays a vital role in ensuring smooth clinic operations and exceptional patient experiences.
  • Welcome patients, verify insurance coverage, and facilitate enrollment documentation with accuracy and professionalism.
  • Assist providers and patients with scheduling follow-up appointments and consultations to ensure continuity of care.
  • Maintain a clean, organized, and welcoming reception area to enhance patient satisfaction.
  • Deliver outstanding customer service to internal and external customers, resolving issues effectively.
  • Support clinic operations by participating in daily huddles and completing demographic checks.
  • Document patient information accurately, including insurance eligibility and medical record numbers.
  • Contribute to the preparation of medical insurance billing forms and assist with uninsured program applications.
  • Ensure compliance with clinic policies and procedures while maintaining a positive patient experience.

Patient Service Representative Key Responsibilities & Duties

  • Perform professional and efficient scheduling of patient appointments, ensuring accuracy and timeliness.
  • Greet and register patients upon arrival, facilitating a seamless check-in process.
  • Verify insurance coverage and pre-authorization for scheduled patients.
  • Answer telephone calls, direct callers appropriately, and take messages as needed.
  • Assist patients with registration processes, including kiosk usage and enrollment data completion.
  • Conduct reminder calls and outreach to patients for rescheduling appointments.
  • Prepare medical insurance billing forms and assist with sliding fee scale applications.
  • Maintain the reception area in a clean and organized manner, ensuring a welcoming environment.
  • Participate in daily huddles and contribute to clinic productivity reports.

Patient Service Representative Job Requirements

  • High School Diploma or GED required; additional certifications in medical reception preferred.
  • Minimum of 2 years of experience in medical reception or a related field.
  • Proficiency in E-Clinical Works or similar medical software is advantageous.
  • Familiarity with standard medical field practices and procedures.
  • Ability to work evening and weekend shifts as required.
  • Excellent organizational and multitasking skills to manage clinic front office operations.
  • Strong communication skills, with Spanish-speaking ability preferred.
  • Commitment to delivering exceptional customer service and resolving patient issues effectively.
  • Ability to commute to multiple clinic locations as needed.
