Patient Service Representative Overview

  • The Patient Service Representative is a vital member of the healthcare team, ensuring smooth clinic operations and exceptional patient experiences.
  • Welcome patients, verify insurance, and facilitate accurate enrollment documentation for seamless healthcare access.
  • Assist providers and patients with scheduling follow-up appointments and consultations to maintain efficient care coordination.
  • Deliver outstanding customer service to patients and internal/external stakeholders in a professional and welcoming environment.
  • Support front office operations, including patient registration, demographic checks, and insurance verification processes.
  • Ensure the reception area is clean, organized, and conducive to a positive patient experience.
  • Participate in daily huddles and contribute to team collaboration for clinic success.
  • Provide assistance with transportation arrangements and distribute metro cards to patients as needed.
  • Work under general supervision, relying on experience and judgment to accomplish daily tasks effectively.

Patient Service Representative Key Responsibilities & Duties

  • Perform professional and efficient scheduling of patient appointments, ensuring accuracy and timeliness.
  • Greet and register patients, assisting with the registration process with professionalism and attention to detail.
  • Verify insurance coverage for scheduled patients, including pre-authorization verification.
  • Answer telephone calls, direct callers appropriately, and take messages for providers.
  • Conduct reminder calls and outreach to patients for rescheduling appointments.
  • Prepare medical insurance billing forms, assist clients with sliding fee scale applications, and verify uninsured program documents.
  • Maintain the reception area, ensuring cleanliness and organization for a welcoming atmosphere.
  • Accurately record visit co-payments and reconcile sliding fee payments on daily summary reports.
  • Support clinic operations by commuting to other clinic locations as needed.

Patient Service Representative Job Requirements

  • High School Diploma or GED required for educational background.
  • Minimum of 1-2 years of experience in a related field or medical setting.
  • Familiarity with standard medical field concepts, practices, and procedures.
  • Experience with E-Clinical Works is preferred but not mandatory.
  • Proficiency in Spanish is preferred to enhance patient communication.
  • Availability to work evening and weekend shifts as required.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Commitment to delivering exceptional customer service and resolving patient concerns effectively.
  • Ability to commute to multiple clinic locations as needed.
