Senior Billing Specialist Overview

  • The Senior Billing Specialist supports advanced billing activities for specific practice groups and billing partners, ensuring compliance with client and organizational requirements.
  • Collaborates with attorneys and administrative departments to provide a solution-oriented customer service experience.
  • Manages client invoices, monitors unbilled inventory, and supports clients and attorneys effectively.
  • Ensures compliance with client billing guidelines and firm policies, maintaining financial integrity.
  • Prepares, reviews, and finalizes proformas and invoices, ensuring accuracy and adherence to agreements.
  • Handles e-billing submissions, resolves issues, and maintains communication with clients’ financial teams.
  • Proactively communicates with partners to review inventory and ensure timely WIP relief.
  • Researches and recommends solutions to enhance efficiency and reduce inefficiencies in billing processes.

Senior Billing Specialist Key Responsibilities & Duties

  • Set up client matters in compliance with partner and client preferences, including e-billing codes and fee arrangements.
  • Review and ensure adherence to client billing guidelines and firm policies.
  • Prepare, review, and finalize client invoices, ensuring accuracy and compliance with agreements.
  • Submit e-bills, resolve rejections, and monitor submission statuses effectively.
  • Maintain communication with clients’ financial teams to expedite invoice processing.
  • Address client inquiries and escalate issues to management when necessary.
  • Monitor WIP, aged A/R, and unallocated funds, ensuring timely resolution.
  • Collaborate with billing and finance teams to achieve organizational goals.
  • Undertake ad hoc projects and prepare reports as requested by clients or management.

Senior Billing Specialist Job Requirements

  • Bachelor’s degree in Accounting, Business, or a related field is required.
  • Minimum of 5 years of experience in a large law firm billing department or similar industry.
  • Proficiency in Elite Enterprise or 3E; familiarity with Design Gallery, ARCS, and related tools is a plus.
  • Experience with e-billing platforms such as BillBlast and eBilling Hub is preferred.
  • Strong skills in MS Outlook, Word, Excel, and PowerPoint are essential.
  • Excellent written and verbal communication skills are required.
  • Ability to work independently, meet deadlines, and manage multiple priorities effectively.
  • Flexibility to work overtime as needed to meet deadlines and client needs.
  • Strong attention to detail and problem-solving skills to ensure accuracy and efficiency.
