Executive Assistant Overview

  • The Executive Assistant role supports the Chief Legal Officer in a dynamic financial services environment, ensuring seamless operations and executive-level coordination.
  • Collaborate with senior leadership on strategic initiatives, enhancing operational efficiency and departmental productivity through innovative solutions.
  • Leverage technology and automation tools to streamline processes, improve workflows, and support organizational goals.

  • Coordinate executive schedules, travel arrangements, and meeting logistics with precision and professionalism.

Executive Assistant Key Responsibilities & Duties

  • Manage complex executive calendars, prioritizing competing demands and ensuring seamless scheduling.
  • Coordinate domestic travel arrangements, including recurring travel between key locations.
  • Prepare meeting agendas, briefing materials, and correspondence for executive-level engagements.
  • Support legal department initiatives, including process documentation and workflow improvements.
  • Assist in the adoption of AI-enabled tools and automation solutions to improve efficiency.
  • Draft and edit professional communications, presentations, and reports for leadership and board discussions.
  • Coordinate logistics for board and executive meetings, ensuring timely preparation of materials.
  • Monitor project timelines, deliverables, and action items across the legal department.
  • Facilitate cross-functional collaboration with compliance, risk, and executive stakeholders.

Executive Assistant Job Requirements

  • Bachelor's degree required, preferably in a related field.
  • Minimum of 5 years of experience in executive support roles; 7 years preferred.
  • Experience supporting senior executives in legal, banking, or financial services environments.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Demonstrated interest in technology, automation, and AI tools for process improvement.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
