Job Description

Overview

  • Serve as an Executive Assistant to the Business Development team in a dynamic and fast-paced environment.
  • Coordinate and optimize team operations, ensuring seamless day-to-day functionality and productivity.
  • Manage calendars, meetings, and travel arrangements for an eight-person team with precision and efficiency.
  • Provide administrative support for investor-related activities, including event planning and documentation.
  • Collaborate with stakeholders to enhance operational processes and maintain high standards of professionalism.
  • Contribute to the preparation of meeting materials and ensure all agendas are optimized for stakeholders.
  • Work on-site in a corporate headquarters environment, fostering team collaboration and engagement.

Key Responsibilities & Duties

  • Manage internal and external meeting schedules, including calendar coordination and agenda preparation.
  • Organize travel arrangements, ensuring adherence to policies and cost-effective planning.
  • Provide administrative support, including expense report processing and meeting preparation.
  • Assist in planning and executing team events, investor meetings, and annual general meetings.
  • Maintain high standards of discretion and professionalism in all interactions and communications.
  • Utilize technical tools such as MS Office, Google Suite, and Salesforce for efficient operations.
  • Record meeting minutes and provide relevant documentation to stakeholders as needed.

Job Requirements

  • Bachelor’s degree preferred, with a minimum of five years of administrative experience.
  • Proficiency in calendar management, travel planning, and stakeholder relationship coordination.
  • High technical proficiency with MS Office, Google Suite, and Salesforce applications.
  • Exceptional organizational skills and attention to detail in a fast-paced corporate environment.
  • Strong communication skills, both written and verbal, with a proactive mindset.
  • Ability to maintain confidentiality and professionalism in all situations.
  • Experience in financial services or similar industries is preferred.
